CallPilot Desktop Messaging Overview
CallPilot Desktop Messaging works with Microsoft Outlook to provide a single
graphical interface for your CallPilot voice messages, as well as your e-mail
messages. You can access all of your correspondence from the Microsoft Outlook
interface on your Windows-based PC.
CallPilot Features
CallPilot Desktop Messaging lets you use Microsoft Outlook to:
- Listen to, record, and send voice messages.
- Forward and reply to voice messages.
- Change your CallPilot mailbox password.
You can create voice-only or text-only messages, but you can also create
and work with messages that include any combination of voice and text.
You can play and record voice messages from a PC equipped with a pair of
speakers and a microphone, or from a telephone.
Getting Started with Desktop Messaging
Logging on to Desktop Messaging for the First Time
- Open Microsoft Outlook and log on
- In the CallPilot Logon dialing box type your voicemail password (if prompted)
- Check box to “remember password”
- Click OK
Opening Your CallPilot Message Store Inbox from within Outlook
- Display Folder List if necessary (View menu> Folder List)
- Double –click CallPilot Message Store icon on the left
pane of Inbox Folder List.
- Click Inbox icon under CallPilot Message Store

- Voice mail Inbox appears bold with the number of new messages in brackets
if you have any new messages.

How do I know if I have new messages?
Whenever you have a new or unread message in your CallPilot Message Store,
the Message Waiting Indicator icon in your Windows system tray (on taskbar)
is bright red
. When
you have no unread messages, or after you listen to your new messages, the
icon is black.
Move and hold your cursor over the icon to display a message that shows:

- What mailbox you are logged on to
- How many CallPilot messages are in your Inbox
- How many new messages you have
- How many unsent messages you have
- To view and play your messages, open your CallPilot Message Store Inbox
Listening to a Voice Message from a Computer
- In the voice mail inbox, double-click the icon for a message
- In the CallPilot Player window , verify that you want to listen to the
voice from a computer,
then
click Play 
- The message begins to play.
- Use the Audio icons to stop the message, to resume playing, to skip forward,
to skip backward, to go to the beginning, and to go to the end of the message

- Click the Close (X) title bar button
to
close CallPilot Player and return to the CallPilot message inbox
Listening to a Voice Message from a Telephone
- In the open message, double-click the telephone icon
- If the audio tab displays, verify that you want to listen to the voice
with your telephone, then click OK
- Answer the telephone when it rings
- The message begins to play
- Use the audio icons to stop the message, to resume playing, to skip forward,
to skip backward, to go to the beginning, and to go to the end of the message
- Click the Close (X) title bar button
to
close the CallPilot Player and to return to the CallPilot message inbox
- Hang up the telephone
Opening and Closing Messages
To Open a Message
- In your CallPilot Inbox, double-click the message that you want to open
To Close a Message
- In the message, click the Close (X) title bar button
Deleting a Message
- In your CallPilot Inbox, click the message that you
want to delete
- On the Edit menu, click Delete
- This sends the message to the CallPilot Deleted Items folder
Note: you must select and delete messages in the Deleted items folder
to erase them completely
Replying to the Sender of a Message
- In an open message, from the Tools menu, click Reply
Replying to the Sender and Recipients of a Message
- In an open message, from the Tools menu, click Reply To All
Forwarding Messages
- In an open message, on the Tools menu, click Forward
- Use the CallPilot Address Book (NOT the Outlook Address
Book) to select the names of the recipients to whom you are forwarding
the message OR
- Type in the person's 5-digit campus phone number
- Click Send Message
Exiting from CallPilot Desktop Messaging
- Close Outlook. This exits you from the CallPilot mailbox as well
as from the Outlook application.
It may take some time for your CallPilot mailbox to shut down completely.
Changing Your Password for Voice Messaging
(it is recommended that you change the voice mail password from the computer rather
than from the telephone)
- In your Outlook Inbox, on the Tools menu,
click Options
- Select the Mail Setup tab, click the E-mail
Accounts button
- Select CallPilot Desktop Messaging and
click the Change button
- Click Change Password button
- In the Old password box, type your current password
- In the New password box, type your new password of 6-16 digits
- In the Retype new password box, type your new password
again
- Click OK button
- Click OK again
- Click Finish button
This changes your password for your telephone, as well as for Desktop
Messaging.
